Wodify is the platform most serious CrossFit boxes run on. It handles class scheduling, programming, performance tracking, membership billing, and the Wodify Pulse community feed. If your box runs efficiently on Wodify, it is because someone is working the platform consistently. For most box owners and head coaches, that person is themselves - after classes, on weekends, between programming cycles.
A Wodify virtual assistant takes the platform operations off the whiteboard. This article covers the four highest-leverage workflows: programming upload, athlete performance review, billing resolution, and community engagement. These are tasks suited to a VA - repeatable, documented, and executable without coaching credentials.
If you are new to the concept of delegating box operations, start with the fitness VA overview. This article assumes you are ready to hand off and want the Wodify-specific playbook.
Programming upload
Programming is the core product of a CrossFit box. Getting it into Wodify accurately, on schedule, and formatted correctly is a non-coaching task that takes 1 to 3 hours per week depending on how your cycles run.
The head coach or programmer writes the workouts. The VA enters them.
The upload workflow:
- Receive programming from the head coach in the agreed format (Google Doc, Notion, or direct message). Establish a weekly handoff day - Thursday for the following week is common.
- Enter each day's workout into Wodify using the correct workout type (strength, conditioning, skill), movement library entries, and any scaling notes. Wodify's movement library matters here: if the coach programs "Hang Power Clean" and the VA enters "Power Clean," the performance tracking breaks.
- Attach benchmark tags where the coach has flagged them. Benchmark workouts (Girls, Heroes, named WODs) need to be tagged correctly so Wodify can surface athlete PR history.
- Publish on the correct schedule - most boxes publish the week Sunday night or Monday morning. The VA queues the publish if Wodify's scheduled publish feature is available on your plan.
- Confirm via a quick Slack message to the head coach that the week is live and accurate.
The SOP for this workflow should include a standard entry template per workout type and a review checklist (movement names verified, scaling notes included, tags applied, publish date set). A trained VA running this checklist catches 95 percent of input errors before they reach the members.
Athlete performance review
Wodify tracks every member's logged scores. Most boxes collect this data and never do anything with it. A VA can run a structured performance review cycle that surfaces useful information for coaches and creates touchpoints for members.
This is not programming - the VA does not interpret results as a coach would. The VA identifies patterns, flags outliers, and delivers structured summaries. Coaches decide what to do with the information.
The weekly performance pass:
- Pull the weekly performance report from Wodify: who logged scores, who did not log, benchmark completions for the week.
- Flag any member who has not logged a score in 7 or more consecutive days. This is an early attendance and engagement signal. Deliver the list to the head coach or box owner.
- Identify PR achievements from the week. Wodify marks these. The VA pulls the list and formats it for the community board or weekly shout-out post.
- For benchmark workouts, pull the member's prior result alongside this week's result and note the change. This takes 2 to 3 minutes per benchmark and is used by coaches in their member check-in conversations.
The VA does not need to analyze the fitness data - they need to surface it in a format coaches can act on. A simple weekly table in Google Sheets is sufficient.
Monthly athlete report:
Once per month, the VA generates a class attendance vs. performance correlation summary: members who attended 12 or more classes in the month vs. members who attended fewer than 8, with average benchmark scores for each group. This is useful for retention conversations and for marketing content ("our most consistent athletes see the results").
Billing resolution
CrossFit box membership billing runs on automatic recurring charges. Wodify handles this natively, but failed payments, expired cards, and billing disputes are a weekly occurrence in any box with more than 50 members.
Unworked billing exceptions become lapsed members. The math is straightforward: a $150/month membership that fails and is not recovered within 10 days often does not come back.
The VA billing workflow runs daily:
- Pull the failed payment report from Wodify each morning.
- Send a personalized payment update request to each affected athlete within 2 hours of the report pull. Short message, direct card update link, no punitive tone.
- Log the outreach in the athlete's Wodify profile notes.
- Re-run the charge 48 to 72 hours after the athlete updates their payment method.
- Second-failure athletes get flagged to the box owner with a recommendation: personal call, hold the membership, or administrative action.
Track the recovery rate weekly. A VA running this daily should recover 80 percent or more of failed charges in the first 30-day cycle. Anything below 70 percent means either the outreach timing or the message needs adjustment.
Beyond failed payments, the VA handles:
- Membership holds (Wodify has a pause feature - the VA processes requests per your hold policy, confirms dates to the athlete, and manages the reactivation reminder 5 days before the hold ends).
- Cancellation processing, including a one-attempt save using the approved save script before confirming.
- Manual charge adjustments for billing errors, with a defined escalation threshold (common: VA authority up to $75, owner approval above that).
Community engagement
The Wodify Pulse feed is the in-app community board. It is where members post results, coaches share announcements, and the box culture lives digitally. Most box owners see its value but have no consistent capacity to maintain it.
The VA owns the operational layer of community engagement - not the coaching voice, but the rhythm.
What the VA manages:
- Weekly shout-out post. Every week, the VA drafts a post highlighting PRs, attendance streaks, or benchmark achievements from the performance review pass. Coach approves and publishes (or the VA publishes from a designated community account if the coach prefers). Takes 10 minutes with the PR list already pulled.
- Benchmark prep posts. When a named benchmark is scheduled, the VA posts a preview - the workout, the scaling options, and a historical result prompt ("What was your last Fran time?"). This drives pre-class engagement and performance logging.
- Member milestone recognition. Wodify tracks attendance milestones (50th class, 100th class). The VA monitors these and drafts a short recognition post for each milestone. Coaches know when a member is hitting 200 classes - they are often surprised to learn they did not know.
- New member introductions. When a new athlete completes their foundations or intro class, the VA posts a short welcome to Pulse. Simple, consistent, and something many boxes intend to do but drop after the first month.
The VA is not the community manager - they are the operational backbone that makes community management consistent without requiring the coach to remember to post between programming cycles.
Permissions and access setup
Wodify uses role-based staff accounts. Set up a dedicated VA account with access to: member management, class scheduling, programming entry, billing reports, and Pulse. Restrict: payroll, Wodify settings, integration management, and payment gateway configuration.
Before the VA's first day on Wodify, create the SOP documents for each of the four workflows above. A one-page doc per workflow is sufficient. The programming upload checklist is the most critical - errors there are visible to every member.

Frequently asked questions
Does a Wodify VA need CrossFit coaching experience?
No. The VA manages platform operations, not programming or coaching. Familiarity with CrossFit terminology and workout formats is helpful - it reduces errors in programming upload and performance review. But a Fitness VA who has worked in CrossFit environments can handle this role without an L1 cert.
How long does it take to onboard a VA to Wodify?
Two to three weeks for full independence. Week one: platform orientation and shadow work on programming upload and billing. Week two: co-running all four workflows with daily review. Week three: independent operation with end-of-day check-ins.
Can a VA manage Wodify programming for multiple coaches?
Yes. If your box has multiple coaches contributing to programming, the VA serves as the central intake - collecting from each coach on the agreed weekly handoff day and uploading everything in the correct order. The head coach reviews before publish.
What does a Wodify VA typically cost?
Philippines-based VAs with CrossFit software experience run $7 to $13 per hour. US-based fitness admin VAs run $20 to $30 per hour. For a part-time role (10 to 15 hours per week), that is $280 to $780 per month offshore. See our fitness VA cost breakdown for a full comparison.
Is Wodify difficult for a remote VA to use?
No. Wodify is a cloud-based platform accessible via browser. All core VA functions - programming entry, billing, member management, Pulse - are available remotely. No VPN or special access is required beyond the staff account credentials.
