Wave is the free accounting platform that bootstrapped fitness coaches start with. The accounting features are free; payment processing and payroll are paid services. For solo coaches generating under $5K/month in early days, Wave is genuinely sufficient.

A Fitness Virtual Assistant who runs Wave properly absorbs the bookkeeping operational layer the way they would on a paid platform. The trade-off is fewer features and weaker support - the VA's discipline matters more.

For where this fits in the broader role, see our Fitness VA tasks list.

When Wave is the right choice

Three signals:

  • Pre-revenue or sub-$5K MRR coach. Cost of paid platforms exceeds value at this stage.
  • Service-only operations. No retail, no inventory.
  • Solo operator. No payroll, no contractors past 1099 threshold.

For any operation past startup stage, FreshBooks or QuickBooks provides materially more value for the cost.

Free vs paid Wave features

Free:

  • Accounting and reporting
  • Unlimited invoicing
  • Receipt scanning (mobile app)
  • Expense tracking

Paid:

  • Payment processing (Wave Payments)
  • Payroll (Wave Payroll, US/CA only)
  • Advisor / bookkeeping support

For most early-stage solo coaches, the free tier covers the basics.

Setup checklist

The VA's first-week setup:

  • Business profile. Legal business name, EIN, address.
  • Chart of accounts. Standard categories: Service Revenue, Coaching COGS, Software, Marketing, etc.
  • Bank account connection. Live bank feed for automatic transaction import.
  • Credit card connection. Same.
  • Tax setup. Sales tax / GST configuration where applicable.
  • Invoice template branding. Logo, colors, payment terms.

This setup takes 4 to 6 hours and pays back across the entire engagement.

Invoicing workflow

Wave's invoicing is competent for free software:

  • Invoice creation. Per service delivered or per milestone.
  • Recurring invoices. For monthly retainers.
  • Online payment links. Accept card or ACH (Wave Payments fees apply).
  • Auto-reminder schedule. 7 days before due, day of, 7 days late.
  • Manual escalation. 14+ days late gets personal email from VA.

For solo coaches with under 30 active invoicing relationships, Wave handles this cleanly.

Expense categorization

Same principles as paid platforms:

  • Bank rules. Recurring vendors auto-categorize (limited compared to QuickBooks but functional).
  • Receipt capture via mobile app. OCR handles most receipts.
  • Manual categorization for irregular transactions.
  • Quarterly chart of accounts cleanup.

Wave's bank rules are more limited than QuickBooks, so the VA's manual review queue is larger.

Reconciliation

Same weekly cadence:

  • Bank reconciliation weekly.
  • Credit card reconciliation weekly.
  • Stripe payout reconciliation if Stripe is the primary processor (vs Wave Payments).
  • Discrepancy log for issues flagged within 24 hours.

1099 collection

For coaches who hire contractors:

  • Vendor W-9 collection.
  • Year-round payment tracking.
  • Year-end 1099 prep through Wave (limited; may need separate service for high vendor counts).

Wave's 1099 features are basic. For more than 5 contractors, consider supplementing with a dedicated 1099 service.

Owner-facing reporting

Weekly snapshot the VA delivers:

  • Cash position.
  • Outstanding invoices.
  • Revenue this week vs prior.
  • Top 3 expense categories.

Monthly P&L delivery same as other platforms.

Wave-specific limitations

  • Limited integrations. Fewer integrations than QuickBooks or Xero.
  • Limited multi-currency. Single-currency operations only practically.
  • Support is limited. Free tier doesn't include human support; paid Wave Advisor adds cost.
  • No project tracking. Unlike FreshBooks.
  • Limited inventory. Effectively unusable for retail-heavy operations.

These limitations are why Wave is a starting platform, not a long-term solution.

When to graduate from Wave

Three signals:

  • Revenue past $5K MRR. The cost of paid platforms is now negligible relative to what they unlock.
  • Adding any employee. Wave Payroll is US/CA only and limited; Gusto + QuickBooks/Xero is more capable.
  • Adding retail. Wave's inventory features are too thin for any retail operation.

Migration to QuickBooks, Xero, or FreshBooks is a 1 to 2 week project at this scale. The VA owns the migration: chart of accounts mapping, transaction history export, vendor list cleanup, opening balances reconciliation. The accountant validates the migration is clean before sunsetting Wave. Most fitness coaches who delay this migration past the right inflection point regret it within 90 days when tax-time complexity hits.

Compliance lines the VA does NOT cross

Same as other platforms:

  • Tax strategy. Accountant.
  • Filing returns. Accountant.
  • Entity structure. Accountant + lawyer.
  • Owner-distribution decisions. Owner.

Tools that pair with Wave

  • Stripe. If using Stripe instead of Wave Payments.
  • Hubdoc. Receipt OCR if Wave's mobile capture is insufficient.
  • Notion. SOP library and weekly snapshot template.

Common failures

  • Owner outgrows Wave but stays anyway. False economy past startup stage.
  • Bank rules not maintained. Manual categorization eats VA hours.
  • Receipts uncollected. Missed deductions.
  • No weekly reconciliation. Issues compound.
  • Multi-currency attempted. Wave is the wrong tool for international operations.

Frequently asked questions

Wave or FreshBooks for a starting coach?

Wave if cash-strapped and pre-revenue. FreshBooks once you can absorb $20-$30/month in software cost. The graduation point is around $3K monthly revenue.

Does the VA need accounting background?

No. Wave's UI is basic and forgiving.

How long until VA is productive on Wave?

1 to 2 weeks. Wave's feature surface is small.

Can Wave handle a coach with 50+ clients?

Functionally yes, but the limited automation will create more VA work than a paid platform would. Migrate at this scale.

What about Wave's payroll service?

US/CA only, basic features. For most fitness operations adding payroll, Gusto + paid accounting platform is better.
