Spa and Wellness Center NPS Survey Workflow for Virtual Assistants

Net Promoter Score measures one thing cleanly: how likely is your client to recommend you to someone they know? A simple 0-10 scale with one follow-up question generates the most actionable client satisfaction data in the shortest amount of time. Spas that run quarterly NPS surveys and act on the results consistently improve retention, reduce churn, and grow referral rates without adding marketing spend.

Your spa VA runs the entire NPS workflow - building the survey, distributing it, collecting and routing responses, and producing the quarterly report.

Understanding NPS Categories

Before your VA can route responses correctly, both you and your VA need to understand what the score means:

Promoters (9-10): Clients who are enthusiastic fans. They are actively recommending you already or are likely to do so. These are the clients your VA routes to the review generation workflow and the referral program outreach.

Passives (7-8): Satisfied but not enthusiastic. They are not churning, but they are also not recommending. They are at risk of being poached by competitors or simply drifting away. These clients respond well to a personalized check-in and a targeted value add.

Detractors (0-6): Clients who are unhappy and may be actively discouraging others from visiting. These require immediate, personal response from the owner or manager. The VA flags and escalates - they do not handle detractor responses independently.

NPS is calculated as the percentage of Promoters minus the percentage of Detractors. Industry benchmarks for spa and wellness: 30-50 is good, 50-70 is excellent, 70+ is world-class.

Building the NPS Survey

Your VA creates the survey in a tool that allows easy distribution and data export. Recommended tools: Typeform, Google Forms, or SurveyMonkey. If you use GoHighLevel, their survey feature works for this.

Survey structure (keep it to 3 questions maximum):

Question 1 (required): "On a scale of 0-10, how likely are you to recommend [Spa Name] to a friend or family member?"

Question 2 (open text, required): "What is the main reason for your score?"

Question 3 (optional, branching): For scores 0-6: "Is there anything specific we could do to improve your experience?" For scores 9-10: "Is there a specific team member or experience you would like to highlight?"

Do not add more questions. Response rates drop dramatically with each additional question beyond three.

The Quarterly NPS Distribution Workflow

Run the NPS survey four times per year: January, April, July, and October. This gives you seasonal comparison data and enough time between surveys to act on findings before the next one.

Step 1 - Build the Distribution List (Week Before Survey Launch)

The VA exports the active client list from MindBody or Vagaro. Filter criteria:

  • Active members or clients who have visited at least once in the last 90 days
  • Email address on file and email marketing consent = yes
  • Not already surveyed in the current quarter

For SMS distribution, additionally filter for SMS marketing consent. NPS surveys perform better by email because of the slightly longer response format, but SMS reminders improve completion rates.

Target list size: All qualifying active clients. Do not sample if your list is under 500. For lists over 500, all-client distribution is still reasonable.

Step 2 - Launch the Survey

The VA sends the survey on the first Tuesday or Wednesday of the survey month (avoid Mondays and Fridays for open rates). Subject line: "How are we doing, [Name]?"

Email body:

"Hi [Name], we want to make sure [Spa Name] is delivering the experience you deserve. We have one quick question for you - it takes under 90 seconds and your honest answer helps us get better. [Survey link] Thank you for being part of our community."

Step 3 - Send One Reminder (5-7 Days After Initial Send)

The VA sends a single follow-up reminder to clients who did not open the initial email. Do not resend to everyone - only to non-openers. Most email tools (Mailchimp, ActiveCampaign, GoHighLevel) support segmenting by non-openers.

Reminder subject: "Still 90 seconds - how are we doing?"

Step 4 - Collect and Triage Responses (Ongoing During the 14-Day Survey Window)

The VA reviews responses daily during the survey window. All responses get logged in the NPS tracking spreadsheet. Routing:

  • Scores 9-10: The VA adds the client to the review generation workflow queue and flags for referral program follow-up
  • Scores 7-8: The VA sends a personal thank-you and notes any specific improvement suggestions for the quarterly report
  • Scores 0-6: The VA flags immediately for the owner with the client's name, score, and verbatim response. Owner outreach should happen within 24 hours of a detractor response being received

For urgent detractor responses (a score of 1-3 with a specific complaint), the VA contacts the owner the same day.

See /fitness-virtual-assistant-tasks-list for the full scope of survey and feedback management.

The NPS Quarterly Report

At the end of the survey window, the VA produces a quarterly NPS report for the owner. This is not a data dump - it is a synthesis.

Report sections:

Score summary: Total responses, Promoter %, Passive %, Detractor %, NPS score, comparison to last quarter.

Promoter themes: What are your happiest clients saying? Identify the 3-5 most common themes in Promoter responses (therapist quality, booking ease, environment, value, results). These are your strengths to protect and amplify in marketing.

Detractor themes: What are your unhappiest clients saying? Identify the 2-3 most common themes. These are your highest-priority operational improvements.

Passive insights: What would it take to move Passives to Promoters? Look for patterns in Passive responses - often they mention things like wanting easier online booking, more availability, or a specific service they wish you offered.

Action items: 3-5 specific, owner-actionable recommendations based on the data. The VA proposes; the owner decides.

This report is presented in the monthly owner check-in that falls closest to the survey close date.

Responding to NPS Respondents

Every respondent should receive a personal message from the spa. The VA handles Promoters and Passives. The owner handles Detractors.

Promoter response: "Hi [Name], thank you for your kind words - we are so glad you are having a great experience with us. If you ever feel like sharing that experience on Google, it would mean the world to us. [Google link]"

Passive response: "Hi [Name], thank you for your feedback. We appreciate you taking the time to share your experience. I noticed you mentioned [specific point from their response] - I will make sure that gets to the right person here. Is there anything we can do to make your next visit even better?"

Detractor response (sent by owner): Personal phone call or email. Acknowledge the concern. Offer a specific resolution. Do not use a template.

FAQ

How long should the NPS survey window stay open? 14 days is standard. After 14 days, response rates for late responders are very low and keeping the survey open dilutes the data with clients whose experience is further from their last visit.

What if our NPS score is very low in the first quarter we run it? Use it as a baseline, not a judgment. An NPS of 20 with clear detractor themes gives you a specific roadmap for improvement. Rerun in 90 days and track the delta. Most spas see meaningful improvement within two quarters of addressing the top detractor themes.

Should we survey every client or just members? Survey all active clients who have opted into email marketing. Members and non-members experience your business differently, and segmenting the results by client type (member vs. single-session) gives you more useful data.

Can the VA run ad hoc NPS surveys in addition to the quarterly cycle? Yes. After a major service change, price increase, or new service launch, a targeted NPS survey sent to affected clients within 30 days gives you quick feedback on the change. Keep these focused and short - one question plus one open text field.
