Spa and Wellness Center Lead Response SOP for Virtual Assistants
Speed wins in lead response. Research consistently shows that responding to a lead within 5 minutes is 21 times more effective than responding within 30 minutes, and 100 times more effective than responding after an hour. In the spa industry, where clients are often making impulse decisions or comparing multiple options, the first business to respond with a clear, helpful message almost always gets the booking.
Your spa VA owns lead response. This SOP defines exactly what they do, when, and how.
Lead Sources Your VA Monitors
Before writing the SOP, map every channel where leads arrive. Your VA is responsible for monitoring all of them during staffed hours.
Primary lead sources:
- Google Business Profile messages (often missed by owners without a system)
- Website contact forms
- Instagram and Facebook DMs
- MindBody or Vagaro new client inquiries
- Missed calls with voicemails
- Text messages to the business line
Secondary lead sources:
- Yelp inquiries
- Email newsletter reply-tos
- Referral partner referrals arriving by email
- Event or gift card inquiries
The VA checks all channels every 30-60 minutes during business hours. Outside business hours, they set up auto-responders in GoHighLevel or the booking platform that acknowledge the inquiry and set expectations for response time.
The Lead Response SOP
Step 1 - First Contact (Within 5 Minutes During Business Hours)
The first response is not a close. It is an acknowledgment and a qualification question. Speed matters more than length here.
For web form or email leads:
Subject: Re: Your inquiry about [service or spa name]
"Hi [Name], thanks for reaching out to [Spa Name]. I received your inquiry and I am here to help. Can you tell me a little about what you are looking for? Are you interested in [service A], [service B], or something else? I will get back to you with availability and pricing right away."
For Instagram or Facebook DMs:
"Hi [Name]! Thanks for reaching out. What service are you interested in? I will send you our current availability and options."
For missed calls:
The VA returns the call within 5 minutes if the missed call came in during business hours. If voicemail was left, return with a call first, then follow up with a text.
"Hi, this is [VA name] from [Spa Name] calling back about your inquiry. I am reaching out now and will try again in 30 minutes. You can also text this number or call [number] and I will pick up."
Step 2 - Qualification (First or Second Response)
The VA qualifies the lead to understand what they actually need. This is not an interrogation - it is a brief, warm conversation to match them to the right service.
Qualification questions:
- What brings you in? (New client, specific concern, gift for someone, etc.)
- Have you visited a spa like ours before?
- Is there a specific service you have in mind or would you like a recommendation?
- Do you have a preferred date or time?
- Is this for you or for someone else?
The goal of qualification is to (1) confirm they are a genuine prospect, (2) understand their needs well enough to make a specific recommendation, and (3) identify whether they have any barriers to booking (price, schedule, uncertainty about the service).
Step 3 - The Offer (Same Conversation)
Once the VA understands the lead's needs, they make a specific, low-friction offer to book.
Not: "Check out our website for availability." Yes: "We have availability this Thursday at 2pm and Saturday at 11am for a 60-minute Swedish massage. Which works better for you?"
Specific options with clear times. One or two choices, not an open calendar link unless the lead specifically asks for it. Giving two options makes it easier to say yes than presenting the full schedule.
If the lead has a pricing question, the VA gives a direct answer. No hedging. If you offer memberships, the VA presents the membership math clearly:
"Our [membership name] is $[X] per month and includes [what]. Per session that comes to $[Y] versus the single-session rate of $[Z]. Would you like me to hold a spot and walk you through the membership options when you come in?"
Step 4 - Follow-Up Sequence (If No Booking in First Contact)
If the lead does not book in the first conversation, the VA runs a short follow-up sequence through GoHighLevel:
- Day 1 (same day): Confirmation that the VA is holding a tentative spot or checking availability
- Day 2: A value message - what the recommended service does, what to expect, a testimonial or review quote
- Day 4: A soft close with a specific offer (a small first-visit incentive if your pricing allows)
- Day 7: Final follow-up, then move to nurture sequence
If the lead goes cold after day 7, they move to a longer-term nurture list that receives monthly relevant content. They are not written off.

After-Hours Lead Management
Your VA cannot be online 24/7 unless you have a full-time arrangement. Set up the following for after-hours coverage:
Google Business Profile auto-reply: Configure in Google Business settings. Should acknowledge the message and give expected response time.
Website chat widget: Use a tool like GoHighLevel's chat widget or a simple bot to capture name, email, and service interest. The VA follows up the next morning.
Social auto-DM: Instagram and Facebook both support basic auto-replies. Keep it friendly: "Thanks for your message! We will get back to you by [time] tomorrow."
Missed call text-back: GoHighLevel's missed call text-back feature sends an automatic SMS when a call goes unanswered. The VA reviews and responds the next morning.
Your VA checks all after-hours leads as the first task of the day. Every lead that came in after hours should have a personal follow-up by 9am the next morning.
Lead Response Metrics
Track these weekly:
- Average first response time (target: under 15 minutes during business hours)
- Lead-to-appointment conversion rate (what percentage of inquiries become bookings)
- Most common lead source (where to invest marketing dollars)
- Most common reason a lead did not convert (price, timing, service mismatch)
Review with your VA monthly. If conversion rate is below 30-40%, dig into the qualification conversation notes to find the friction point.

FAQ
What if the lead asks a question the VA does not know how to answer? The VA never guesses on pricing, medical information, or service protocols. The answer is always: "Great question - let me check on that for you and get back to you within the hour." Then they find out and respond. No improvising on details that affect a client's decision or health.
Should the VA use a personal phone number or a business number? Always a business number or a dedicated VA line. GoHighLevel provides a trackable business number for SMS and calls. Never mix personal and professional communication channels.
How many follow-up attempts is too many? Four to five contacts over seven days is the outer limit. After that, the lead moves to a monthly nurture cadence. Persistence beyond five contacts becomes harassment in the spa industry, where the client relationship is built on trust.
Can a VA do lead response from a different time zone? Yes, with proper coverage planning. If your spa is open 9am-7pm Eastern and your VA is in a Pacific time zone, they start at 6am their time. If the VA is offshore in a significantly different time zone, use automation and clear coverage windows with explicit handoff protocols.
