Physical Therapy Review Generation Workflow for Virtual Assistants

Google reviews are the most trusted signal a prospective patient uses when choosing a physical therapy clinic. A clinic with 150 reviews and a 4.8-star average wins against a competitor with 20 reviews and a 4.9-star average every time - because volume signals that many people have had consistently good experiences.

Most clinics have far fewer reviews than they deserve. Not because patients are unhappy, but because no one asks. A VA running a systematic review generation workflow fixes this by making the ask automatic, well-timed, and frictionless.

When to Ask for a Review

Timing is the difference between a review request that converts and one that gets ignored. The highest-converting moments:

At discharge. This is the single best moment. The patient has completed their plan of care, their outcome is fresh, and their satisfaction is at its peak. Send the request within 24 hours of the discharge appointment.

After a reported positive mid-plan experience. If a patient scores a 9 or 10 on a mid-plan satisfaction survey, send the review request immediately. Do not wait for discharge. A highly satisfied patient in the middle of their care plan is just as likely to leave a review as one at the end.

30 days post-discharge. For patients who did not respond to the discharge request, the 30-day check-in call is a natural second opportunity. If the patient reports feeling great, the VA follows up with the review link.

The Review Request Sequence

Touch 1: Discharge text (within 24 hours of last appointment). "Hi [Name], it was great working with you and [Therapist Name] to get you back to [activity]. If you have 2 minutes, a Google review would mean a lot to our team and helps others find us when they need PT. Here's a direct link: [Google review URL]."

The phrase "direct link" is important. Do not say "leave us a review on Google" and make them find it. The fewer clicks, the higher the conversion. Get the direct Google review link from Google Business Profile (it looks like: g.page/[clinic-name]/review).

Touch 2: Email follow-up (48 hours after text, if no review posted). "Hi [Name], we sent a quick text the other day - we're so glad you completed your plan of care with us. If you haven't had a chance yet, here's that review link again: [URL]. It only takes about 2 minutes and makes a real difference for patients looking for PT in [City]."

Mention the city. Local relevance increases click-through on review requests because it reminds the patient that their review has a specific impact on their community.

Touch 3: The post-discharge check-in call (30 days out). If the patient has not yet left a review, the VA works the request naturally into the 30-day check-in call: "We're glad you're still feeling strong. One quick thing - we've been helping a lot of people in [City] and your experience would really help other patients find us. Would you mind leaving us a Google review? I can text you the link right now while we're on the phone."

Offer to send the link during the call. Conversion rates for in-call requests with an immediate link send are significantly higher than standalone emails.

Tools and Setup

Google Business Profile. Make sure the clinic's Google Business Profile is claimed and managed. Get the direct review link from the "Get more reviews" section and build it into every review request template.

GoHighLevel automation. Set up a review request workflow that fires when the patient is moved to the "Discharged" pipeline stage. The workflow sends Touch 1 automatically and queues Touch 2 as a VA task 48 hours later if no review is detected. (Review detection requires either manual monitoring or a reputation management integration like Podium or Birdeye.)

Podium or Birdeye. For clinics that want automated review monitoring, these platforms integrate with Google Business Profile, send templated review requests via text, and alert the VA when new reviews post. Birdeye also aggregates reviews from Healthgrades, Zocdoc, and Facebook.

Responding to Reviews

The VA should also monitor and respond to Google reviews within 48 hours. This applies to both positive and negative reviews.

Responding to positive reviews: Keep responses short, genuine, and personalized. Reference the patient's outcome theme if possible (without disclosing clinical details): "Thank you so much for sharing this - it means everything to our team. We're glad you're back to what you love and hope to see you again if you ever need us."

Responding to negative reviews: Respond calmly, without being defensive, and take the conversation offline: "We're sorry to hear your experience was not what you expected. We'd like to learn more - please contact us at [phone/email] so we can make this right."

Never argue with a review, never include clinical details in a response, and never imply the reviewer is lying. A measured, professional response to a negative review often demonstrates clinic culture more powerfully than a five-star review.

Tracking Review Growth

The VA tracks monthly:

  • Total Google review count (beginning of month vs. end)
  • New reviews posted in the month
  • Average star rating trend
  • Review requests sent vs. reviews received (conversion rate)
  • Response time average for posted reviews

Target: send a review request to every discharged patient and every mid-plan 9/10 scorer. A 20 to 30 percent conversion rate is achievable with a well-run sequence. A clinic seeing 30 discharges per month should be generating 6 to 9 new reviews monthly.

FAQ

Is it okay to remind patients to leave a review more than once? Yes, up to three touches. Beyond three touches, you risk annoying patients who have chosen not to leave a review. Respect the implicit no after the third attempt.

Can the VA ask patients to leave reviews on Healthgrades or Zocdoc as well as Google? Yes, but prioritize Google. Google reviews have the highest SEO impact and the highest visibility. Once Google volume is strong (50+ reviews), add Healthgrades to the sequence for patients who use insurance directory sites to find providers.

What if we get a negative review from someone who was not a patient? Flag it to Google as a policy violation review (requires the reviewer to have been a genuine patient). Do not respond until the flag decision comes back. If Google does not remove it, respond professionally as described above and note that you cannot locate a record of that experience.

Should the VA filter patients before sending review requests? Only route requests to patients who scored 7 or above on the mid-plan satisfaction survey. Do not send review requests to patients who submitted a complaint or who had a documented conflict with the clinic. Gate the sequence using the CRM satisfaction score field.
