Money leaks silently in an online fitness coaching business. A failed payment goes unnoticed for two weeks. A client downgrades but keeps accessing the premium tier. A promo code from six months ago is still active and someone found it. By the time the coach checks the numbers, hundreds or thousands of dollars have slipped away. Monthly billing reconciliation is the financial safety net that catches every discrepancy before it compounds. A virtual assistant who runs this process on the first of every month protects revenue, recovers failed payments, and gives the coach clean financial data to make business decisions.
This SOP covers the complete reconciliation workflow from pulling reports to resolving discrepancies and recovering failed charges.
Why Monthly Billing Reconciliation Matters for Online Fitness Coaches
Failed payments are invisible revenue loss. Credit cards expire, bank accounts change, and spending limits get hit. Without a system to catch failed charges within 48 hours, the coach delivers services for free while assuming payment went through.
Pricing accuracy protects margins. As coaches add tiers, adjust rates, and run promotions, billing errors creep in. A client on the old $197 rate when the current rate is $247 costs the coach $600 per year. Multiply that by 10 clients and the loss is significant.
Clean books simplify tax season. Reconciled billing data makes monthly bookkeeping straightforward, reduces accountant fees, and eliminates the panic of sorting through 12 months of messy records in March. The CDC emphasizes systematic tracking in health program management. The same principle applies to business health.
Tools Your VA Needs
- Stripe (primary payment processor - dashboard, reports, and subscription management)
- GoHighLevel (CRM with payment and membership tracking)
- QuickBooks or Wave (accounting software)
- Google Sheets (reconciliation template and discrepancy log)
- PayPal (secondary payment processor, if used)
- Trainerize (cross-reference active program access with billing status)
- Slack or Voxer (coach communication for escalations)
Step-by-Step SOP
Step 1: Pull All Revenue Reports (Day 1 of the Month)
On the first business day of each month, export the following reports for the previous month. From Stripe: subscription billing report (all active subscriptions with amounts, statuses, and last payment dates), failed payments report, refund report, and one-time charge report. From PayPal (if applicable): transaction history for the same period. From GoHighLevel: active membership list with tier assignments. From Trainerize: active client list with program assignments. Save all exports to the dedicated Google Drive folder: Finance > [Year] > [Month] > Reconciliation Reports.
Step 2: Cross-Reference Active Clients Against Billing
Open the reconciliation Google Sheet template. In Column A, list every client with an active Trainerize or TrueCoach account. In Column B, pull their Stripe subscription status (active, past due, cancelled, paused). In Column C, note their current billing amount. In Column D, record their last successful payment date. Flag any discrepancies: clients with active program access but no active Stripe subscription, clients being billed an incorrect amount, clients with "past due" status who are still receiving services, and cancelled subscriptions where program access was not revoked. Color-code the flags: red for revenue-impacting issues, yellow for administrative corrections needed.
Step 3: Recover Failed Payments
Pull the failed payments list from Stripe. For each failed charge, check whether Stripe's automatic retry schedule has resolved it. If not, contact the client within 48 hours via email or SMS through GoHighLevel. Use a professional, non-confrontational template: "Hi [Name], we noticed your recent payment did not process. This sometimes happens when a card expires or a bank flags an unfamiliar charge. Could you update your payment method here? [Stripe update link]." Include a direct link to the Stripe customer portal where they can update their card. Follow up 3 days later if unresolved. If the payment remains failed after 7 days, escalate to the coach and recommend pausing program access until billing is current. Track all failed payment recovery efforts in the Google Sheet with dates, contact method, and resolution. For a deeper look at how a fitness virtual assistant manages financial operations, that guide covers additional workflows.
Step 4: Reconcile Refunds and Credits
Review all refunds processed during the month. Confirm each refund was authorized by the coach and matches a documented request. Check that refunded clients had their program access revoked in Trainerize and their GoHighLevel tag updated. If any unauthorized refunds appear (chargebacks or disputes), flag them immediately for the coach and begin the Stripe dispute response process. Compile a refund summary: total refunds issued, reasons categorized (dissatisfaction, billing error, accidental charge, chargeback), and net revenue impact.
Step 5: Verify Pricing and Promo Accuracy
Audit every active subscription in Stripe against the current pricing sheet. Flag clients who are paying a rate that does not match any current or grandfathered tier. Check for active promo codes or coupons in Stripe - deactivate any expired promotions that are still redeemable. Verify that clients who upgraded or downgraded during the month are now billed at the correct rate. If a pricing error is found, calculate the total overcharge or undercharge, notify the coach, and recommend a correction plan (issue credit for overcharges, send billing adjustment notice for undercharges).
Step 6: Compile and Deliver the Monthly Financial Summary
Build the monthly financial summary in Google Sheets or export data into QuickBooks. The summary includes: total gross revenue, total refunds and chargebacks, net revenue, number of active subscriptions, number of new subscriptions added, number of subscriptions cancelled, failed payment recovery rate, and comparison to the previous month and same month last year. Send the completed summary to the coach by the 5th of the month with a brief written analysis highlighting any trends, concerns, or action items.
Weekly Cadence
- Day 1 of month: Pull all reports. Begin cross-referencing clients against billing.
- Days 2-3: Resolve discrepancies. Contact clients with failed payments. Audit refunds and pricing.
- Days 4-5: Compile the financial summary. Deliver the report to the coach.
- Ongoing (weekly): Monitor Stripe for failed payments in real time. Do not wait until month-end to catch failed charges.
KPIs to Track
- Failed payment recovery rate. Percentage of failed charges successfully recovered. Target 80%+.
- Billing discrepancy count. Number of mismatches found between active access and billing status. Target zero after corrections.
- Revenue leakage. Dollar amount of services delivered without corresponding payment. Track monthly and trend over time.
- Refund rate. Total refunds as a percentage of gross revenue. Keep below 3%.
- Reconciliation completion time. Number of business days to complete the full reconciliation. Target under 5 days.
