Nutrition Coach Client Onboarding Checklist for VAs

Client onboarding is where retention is won or lost. A new nutrition client who has a smooth first week stays. One who waits three days for their meal plan, never gets a welcome message, or cannot figure out how to log food in Cronometer churns before they see any results. This checklist gives nutrition coach VAs a repeatable, step-by-step onboarding flow that delivers a professional experience every time.

For a broader view of what a VA can handle in a nutrition coaching business, see the fitness virtual assistant tasks list.

Phase 1: Intake and Goal Setting

Everything downstream depends on quality intake data. Do not rush this phase.

Intake form delivery (Day 0 - immediately after payment)

Within one hour of a client's payment clearing, your VA should send the welcome email and the intake form link. Use Practice Better's automated form delivery if possible. If you are managing intake outside Practice Better, use a GoHighLevel workflow to trigger the form send automatically at the payment confirmation stage.

The intake form should collect:

  • Current dietary habits and restrictions (allergies, intolerances, cultural preferences)
  • Medical history relevant to nutrition (thyroid conditions, diabetes, GI disorders)
  • Current supplements
  • Cooking skill level and time available for food prep
  • Food preferences and dislikes
  • Fitness goals (weight loss, muscle gain, performance, health maintenance)
  • A typical day of eating

The VA's job is to confirm the form is completed within 48 hours. If a client has not submitted it, send one follow-up. If they have not submitted after 72 hours, flag it to the coach.

Goal setting document (Day 1 to 2)

Once the intake form is in, the VA prepares a goal summary document and sends it to the coach for review before anything is built. This document is not a meal plan. It is a one-page summary: what the client said they want, what the intake data shows, and any flags (medical history items, extreme restriction history, unrealistic timeline expectations) the coach needs to address.

This step protects the coach from building plans based on assumptions and gives the client confidence that their situation was actually read.

Phase 2: App Setup and Platform Access

A client who cannot use the tools you give them will not stay. App setup is not optional and should not be left to the client to figure out alone.

Trainerize or TrueCoach setup

If the coaching program includes workout tracking alongside nutrition, add the client to Trainerize or TrueCoach immediately after intake. Send a connection invite from inside the platform. Include a short Loom (2 to 3 minutes) showing the client how to log a check-in, message their coach, and find their program. This Loom can be recorded once and reused for every client.

Practice Better client portal

For nutrition-only programs managed in Practice Better, the VA should:

  1. Create the client profile with all intake data pre-filled
  2. Assign the correct program type and billing cycle
  3. Send the client portal welcome email with login instructions
  4. Book the initial onboarding call if your program includes one

Confirm the client logs in within 24 hours. If they do not, send a text or email reminder. Clients who do not log in to their portal in the first 48 hours have a significantly higher drop-off rate.

That Clean Life access (if using a shared client view)

If your program gives clients access to a That Clean Life meal plan link, share it in the welcome packet. Include a one-paragraph explanation of how to use it: how to swap meals, how to view the shopping list, how to adjust portions. This explanation should be in writing, not just a verbal walkthrough.

Cronometer setup for active trackers

If clients are expected to track their food in Cronometer, the VA should:

  1. Share the Cronometer link and invite if you are using a premium shared account
  2. Send a written guide: how to log a meal, how to find nutrient targets, how to share a diary report
  3. Schedule the first food diary review date so the client knows exactly when the coach will look at their data

Clients who are not set up in their tracking tool within 48 hours of onboarding rarely start using it at all.

Phase 3: Meal Plan Delivery

Meal plan build timeline

Your VA should have a clear timeline from you: how many days after intake does the first meal plan go out? The standard for most nutrition programs is 3 to 5 business days after a complete intake form is received. Set this expectation in your welcome email so clients are not messaging at day two asking where their plan is.

The VA's role in meal plan delivery depends on your setup:

  • If the coach builds the plan in That Clean Life, the VA reviews it for formatting, sends it, and confirms receipt
  • If the VA builds template-based plans under coach direction, they build and send for final review before it reaches the client

Never let a meal plan go out without coach review on the first delivery. The risk of a clinical error or a misread intake is too high.

Delivery format and instructions

Send the meal plan as a PDF and, if using That Clean Life, as a live link so clients can access the shopping list feature. Include:

  • A brief explanation of why the plan is structured the way it is (2 to 3 sentences)
  • Any substitution rules (e.g., "if you cannot eat salmon, substitute any fatty fish")
  • The expected calorie and macro targets with a note that minor daily variation is normal
  • When to expect their next check-in or plan update

Confirmation and first check-in scheduling

After the meal plan is delivered, the VA sends a confirmation message and books the first formal check-in. This is non-negotiable. Clients with a scheduled check-in on the calendar are far more likely to stay engaged through the first 30 days.

Phase 4: Onboarding Completion Audit

At the end of the client's first week, the VA runs a quick audit against this checklist:

  • Intake form completed and reviewed
  • Goal summary document prepared and approved by coach
  • Platform access confirmed (client logged in)
  • App setup Loom sent and acknowledged
  • Meal plan delivered and receipt confirmed
  • First check-in scheduled
  • Client added to the correct tagging/pipeline stage in GoHighLevel

Any open items get flagged to the coach within 24 hours. An incomplete onboarding at the end of week one is a retention risk. Treat it as one.

FAQ

What if a client does not complete the intake form within 48 hours? Send one reminder at the 48-hour mark. If still incomplete at 72 hours, flag to the coach. Some programs pause the start date until intake is complete - this policy should be written in the welcome email so clients expect it.

Should the VA be the one building meal plans in That Clean Life? Only if the coach has explicitly approved this and the VA is working from approved templates. A VA should not be making independent macro or protocol decisions. All plans require coach sign-off before delivery.

How do I set up clients in Cronometer without a shared account? Send the client direct setup instructions for creating their own free account, set their macro targets based on the coach's protocol, and ask them to share diary access with the coaching account email. This keeps data visible without requiring a paid shared seat.

What is the most important step in the onboarding checklist? Confirming platform login within 48 hours. Every other step can be caught and corrected later. A client who never logs in to their portal is already disengaged before the program starts.
