Most fitness businesses run Google Workspace because it's cheap, intuitive, and the default. But some don't: a chiropractor-affiliated wellness studio that runs on a Microsoft tenant, a corporate wellness contract that requires Microsoft compliance, or a coach who came from Microsoft and never switched.
A Fitness Virtual Assistant working in Microsoft 365 needs to know the slightly-different operational stack: Outlook instead of Gmail, OneDrive instead of Drive, Teams instead of Slack-and-Meet, SharePoint instead of shared Drive folders. The principles are the same; the buttons are different.
For where Microsoft 365 fits in the broader role, see our Fitness VA tasks list.
Outlook discipline
Outlook is more powerful than Gmail but harder to keep tidy. The VA owns:
- Folder structure. Folders for: Member Inquiry, Lead Inquiry, Vendor, Internal, Newsletters. Use Rules to auto-route.
- Categories. Color tags for: Action Required (red), Waiting (yellow), Reference (gray).
- Focused Inbox. Outlook splits inbox into Focused and Other - configure correctly so important mail doesn't end up in Other.
- Quick Steps. Multi-action shortcuts: "Move to Member Inquiry + flag + reply with template."
Without rules, Outlook becomes overwhelming faster than Gmail. With rules, it can be more powerful.
Calendar setup in Outlook
Outlook Calendar is similar to Google Calendar with extra features:
- Calendar groups. Coach's personal + business + shared team calendar visible together.
- Categories on events. Same colors as email categories for visual consistency.
- Booking with me. Outlook's Calendly-like feature for external scheduling.
- Meeting scheduler with availability. When sending meeting requests, attach availability options.
For coaches with significant external scheduling, "Booking with me" replaces Calendly subscription cost.
OneDrive folder structure
Same principles as Drive, different UI:
- Personal OneDrive. Coach's personal files.
- OneDrive for Business. Work files; shared with the team.
- SharePoint sites. Shared folders with permissions tied to teams or projects.
The VA's standard numeric-prefix structure (00 - Templates, 10 - Operations, etc.) translates directly.
SharePoint vs OneDrive
Common confusion. Working rule:
- OneDrive for Business. Files owned by an individual that they share with others.
- SharePoint. Files owned by a team or project, with team-level permissions.
For team-shared resources (templates, SOPs, member files), SharePoint is the right home. Individual drafts and personal work stays in OneDrive.
Teams as team comms
Teams replaces Slack for Microsoft-native teams. The VA configures:
- Channel structure. General, Operations, Marketing, Wins, Random. Same as Slack.
- Tabs per channel. Each channel can have tabs pointing to relevant docs/sheets.
- Notifications discipline. Default Teams notifications are loud. Configure per-channel.
- Meet integration. Teams meetings replace separate Zoom for internal calls.
Teams is heavier than Slack and clunkier for casual chat. For Microsoft-tied businesses, it works fine; for general fitness coaching, Slack is usually better.
SharePoint site for SOPs
A SharePoint site is the right home for the SOP library:
- Pages. Each SOP gets a SharePoint page (better than a Word doc - searchable, navigable).
- Lists. Track SOP version, last updated, owner.
- Permissions. Read access for all team, edit access for the VA.
- Search. SharePoint search works across pages, files, and metadata.
Better than the Google equivalent (Sites), worse than Notion. Use what you have.
Power Automate (vs Zapier)
Power Automate is Microsoft's automation tool, included in Microsoft 365 Business plans. The VA can build:
- Email-to-task flows. Email matching specific criteria creates a Planner task.
- Form submission flows. New form submission triggers Outlook calendar invite + SharePoint document creation.
- Approval workflows. Coach review approval routed via Teams.
- Integration with non-Microsoft tools. Power Automate has connectors to most major SaaS.
For Microsoft-native businesses, Power Automate replaces Zapier subscription cost. The UI is clunkier than Zapier but the price is right.
Forms and Lists for tracking
Microsoft Forms (lighter than Google Forms) and Lists (lighter than Sheets):
- Forms for intake. Lead inquiry, member intake, post-class feedback.
- Lists for tracking. Lead tracker, member roster, content pipeline.
Both integrate with SharePoint and Power Automate. Capable enough for small operations.
Excel for reporting
Excel in 365 has features Sheets doesn't:
- Power Query. Pulls from various sources, transforms data, refreshes automatically.
- Power Pivot. Multi-table data models for complex reporting.
- Charts. More polished charts than Sheets.
For coaches who came from finance or analytics backgrounds, Excel feels right. For others, Sheets is faster to learn.
When to switch FROM Microsoft 365
Most fitness businesses on Microsoft 365 should stay there. Switch only when:
- Most contractors and tools integrate with Google. Microsoft is the friction point.
- Coach struggles with the Microsoft UI. Productivity declining due to tool friction.
- No corporate wellness clients requiring Microsoft compliance. No external pressure to stay.
Migration is 4 to 8 weeks of work. Don't switch lightly.
When to switch TO Microsoft 365
Equally rare. Triggers:
- Corporate wellness clients require it. Their tenant or compliance requirements.
- Industry partners (chiropractors, physiotherapists) all use Microsoft. Reduce friction.
- Existing Microsoft licenses through education or nonprofit programs. Free or discounted.
Common failures
- Treating Outlook like Gmail. Outlook needs rules to be tolerable; Gmail is forgiving.
- OneDrive vs SharePoint confusion. Files end up in wrong places, team can't find them.
- Teams notifications too loud. Team learns to ignore Teams; communication moves to email.
- No SOPs in SharePoint. Knowledge stays in DMs and email.
- Power Automate ignored. Pays for the license, doesn't use the automation features.

Frequently asked questions
Microsoft 365 or Google Workspace for a fitness business?
Google Workspace for most. Microsoft 365 only when there's a specific reason (corporate clients, partner ecosystem, existing license).
Can a Google-trained VA work in Microsoft 365?
Yes, with a 1 to 2 week ramp. Concepts transfer; UI requires re-learning.
Is Teams better than Slack?
For Microsoft-native businesses, slightly. For everyone else, Slack wins. Teams is loud and clunky for casual chat.
Should the VA learn Power Automate or Zapier first?
Whichever the business uses. Power Automate for Microsoft 365 shops; Zapier for everyone else.
What about the Microsoft 365 Business Premium tier?
Worth it for businesses needing Intune device management, more security features, or full PowerApps access. Most fitness businesses do fine on Business Standard.
