Google Workspace is the most-used productivity stack in fitness coaching businesses. Gmail for member email, Drive for everything else, Calendar for scheduling, Docs and Sheets for everything in between. It works out of the box - and most coaches use it badly.

A Fitness Virtual Assistant who runs Google Workspace properly fixes the document chaos most businesses tolerate. This is the working setup: folder structure, sharing model, calendar discipline, and the Drive hygiene rules that keep work findable.

For where Google Workspace fits in the broader role, see our Fitness VA tasks list.

Folder structure

Most Drive accounts are dumping grounds. The VA enforces structure:

  • 00 - Templates. Reusable templates: SOP doc, content brief, weekly report, member onboarding pack.
  • 10 - Operations. Active operational work, organized by quarter.
  • 20 - Marketing. Content, campaigns, brand assets.
  • 30 - Sales. Lead docs, proposals, contracts.
  • 40 - Members. One subfolder per active client (where applicable for high-touch coaching).
  • 50 - Finance. Invoices, receipts, tax records.
  • 90 - Archive. Older than 12 months, kept for reference.

Numeric prefixes keep folders sorted in a known order. Without them, alphabetical sort scatters related work.

Sharing model discipline

Most fitness businesses share too much. Three rules:

  • Default to private. Documents are private until explicitly shared.
  • Share folders, not files. Add a person to a folder; they get access to everything in it. Avoid one-off file shares that fragment access tracking.
  • Time-bound external shares. Contractor or vendor access expires automatically after 90 days unless renewed.
  • Audit quarterly. Drive's Sharing Audit shows who has access to what; review and clean.

Without discipline, ex-VAs and ex-contractors retain access for years. Security and operational risk.

Naming conventions

A documented file naming standard the VA enforces:

  • Date prefix. Use ISO format: 2026-04-30 (sorts naturally).
  • Type tag. [SOP], [Brief], [Report], [Contract], [Plan].
  • Clear noun. What is this document about?

Example: 2026-04-30 [Report] Monthly KPI - April. Self-describing, sortable, findable.

Calendar discipline

Google Calendar is where time goes wrong if not managed. The VA owns:

  • Calendar separation. Coach has personal calendar (private) + business calendar (shared with VA).
  • Event types. Member sessions, internal meetings, deep work blocks, travel/buffer.
  • Color coding. Each event type gets a distinct color. Visible at a glance.
  • Buffer discipline. 15-minute buffers before and after every member session. No back-to-back chaos.
  • Working hours. Set on coach's calendar so external bookers see real availability.

Calendar visibility into 2 hours = productive day. Calendar visibility into 0 hours = reactive day.

Gmail labels and filters

Most coaches treat Gmail as a chronological dump. The VA configures:

  • Member inquiry. Auto-label any email from member-related domains.
  • Lead inquiry. Auto-label any email matching lead form patterns.
  • Vendor. Auto-label vendor and contractor communications.
  • Newsletter. Filter and skip inbox for industry newsletters.
  • Star Important. Manual flagging for items needing coach response within 24 hours.

The coach's inbox should show 5 to 15 emails per day, not 100. The VA's filtering is what makes that real.

Document templates

The VA builds and maintains templates the coach uses repeatedly:

  • SOP template. Standard structure (purpose, when, steps, edge cases, last-updated).
  • Content brief template. For requesting content from VAs.
  • Weekly report template. For coach's standing weekly review.
  • New member welcome pack. Onboarding doc.
  • Discovery call notes template. Lead notes during sales calls.

Templates save 5 to 10 minutes per use. Across a year that's 30+ hours of work.

Drive hygiene rules

Quarterly the VA does:

  • Stale file archive. Anything not opened in 12 months moves to "Archive."
  • Version cleanup. Delete "FINAL_v3_FINAL_FIXED" duplicates. Keep one canonical version.
  • Shared file audit. Review who has access; revoke unused.
  • Folder structure validation. Are new folders following the numeric prefix system?

15 to 30 minutes per quarter. Prevents the slow decay that makes Drive unusable.

Forms for intake

Google Forms is underused for fitness intake:

  • Lead inquiry form. Branded, embedded on website. Submissions auto-appear in Sheets.
  • Member intake form. Pre-program intake gathering history, goals, contraindications.
  • Class feedback form. Quick post-class NPS for retention insight.
  • Workshop registration. Simple registration with payment redirect.

Forms feed Sheets feed Looker Studio dashboards. End-to-end data without paid tools.

Sheets for tracking

Underutilized as a CRM-lite tool:

  • Lead tracker. Form submissions auto-populate; VA enriches with status.
  • Member roster. Active members, contact info, engagement signals.
  • KPI dashboard. Pulls from various sources for the weekly report.
  • Content tracker. Pipeline, performance, recycle dates.

For small operations, Sheets replaces dedicated CRM and project tools. Past 100 members or 200 leads, graduate to dedicated tools.

Workspace-Wide settings the VA configures

Once at setup:

  • Custom email signatures for coach and team.
  • Shared contacts. Vendor, contractor, and partner contacts in shared list.
  • Out-of-office templates. Standard templates for vacation, illness, response delays.
  • 2FA on every account. Non-negotiable for any business handling member data.

Common failures

  • No folder structure. Drive is a 5,000-file dump.
  • Over-sharing. Ex-employees retain access for years.
  • Calendar blocked-out 100%. No deep work, no buffer, reactive day.
  • Inbox unfiltered. Coach drowns in newsletters and noise.
  • No template library. Coach rewrites the same docs from scratch.

Frequently asked questions

Free Gmail or Workspace Business?

Workspace Business for any serious fitness business. $6/user/month buys custom domain email, more storage, admin controls, and Drive sharing rules.

How long until Workspace is fully set up?

Initial setup: 8 to 12 hours over the first week. Cleanup of an existing chaotic Workspace: 16 to 24 hours over the first month.

Should the VA have full Drive admin access?

No. Use shared drives or specific folder access. Admin access creates accidental damage risk.

What about Google Sites for member portals?

Workable for small private member portals. Past 50 members, dedicated platforms (Mighty Networks, Circle, Skool) work better.

How does the VA handle Gmail boomerang for follow-ups?

Use Gmail's built-in "snooze" feature. Snoozes return emails to the inbox at the chosen time. Avoid third-party tools that lose the email if uninstalled.
