Airtable is the most flexible database tool for a fitness business that has outgrown spreadsheets but does not need a full CRM. A Fitness VA can run five core bases that consolidate ops without forcing the team into HubSpot or Salesforce overhead.
This piece is the practical setup guide. If you are still scoping the role, our Fitness VA tasks list shows where Airtable plugs into the stack.
The five bases that matter
Skip the temptation to build 20 bases. These five cover 95 percent of fitness ops:
- Leads. Inbound, outbound, source attribution, status, and follow-up dates.
- Members. Active member roster with lifecycle stage, churn risk, and milestones.
- Content. Editorial calendar with status, channel, and performance metrics.
- Vendors. Software contracts, equipment vendors, renewals, and points of contact.
- Equipment. Inventory of fitness equipment, maintenance schedule, warranty data.
Each base lives in its own workspace. Linking between them happens through linked records, not duplication.
Base 1: Leads
Fields:
- Name, contact info, source, lead score (1-10).
- Status (new, contacted, trial booked, trial completed, converted, lost).
- First contact date, last touch date, next action date.
- Owner (VA or founder).
- Notes (long text).
- Linked record to Members if converted.
Three views to build:
- Today's queue. Filter for next-action-date = today. The VA's daily worklist.
- Overdue. Filter for next-action-date < today. Catches dropped leads.
- Source attribution. Group by source. Weekly review tool.
Automation: when status changes to "trial booked," send Slack notification to founder. When status hits "lost," log reason and route to a 90-day re-engagement queue.
Base 2: Members
Fields:
- Name, contact info, membership tier, start date.
- Lifecycle stage (onboarding, active, at-risk, churned).
- Last visit date, monthly visits.
- Renewal date.
- Churn risk score (auto-calculated from last visit + payment history).
- Notes (long text).
Three views:
- At-risk this week. Filter for churn-risk-score > 7. The retention call list.
- Renewing this month. Filter for renewal-date in next 30 days.
- Onboarding cohort. Filter for lifecycle-stage = onboarding.
Automation: when last-visit-date crosses 14 days, set churn-risk-score to 8 and notify VA.
Base 3: Content
Fields:
- Title, channel (Instagram, email, blog, etc.), status (idea, drafting, scheduled, published).
- Owner, due date, publish date.
- Topic cluster, primary keyword.
- Performance metrics (post-publish): reach, engagement, click-through.
- Linked record to source brief or campaign.
Two views:
- This week's calendar. Filter for publish-date this week.
- Performance dashboard. Filter for status = published, sorted by engagement.
Automation: when a piece is published, schedule a 7-day-post-publish reminder to log performance metrics.
Base 4: Vendors
Fields:
- Vendor name, category (software, equipment, service).
- Contract value, billing cadence (monthly, annual).
- Renewal date, auto-renew (yes/no).
- Point of contact, login info link (1Password reference, never the password itself).
- Performance notes.
Two views:
- Renewing in 60 days. Filter renewal-date within next 60.
- By category. Group by category. Audit tool.
Automation: 60 days before renewal, notify founder for review. 30 days before, route to VA for execution if no founder action.
Base 5: Equipment
Fields:
- Item name, location (home gym, studio A, etc.), purchase date.
- Warranty expiration, last service date, next service date.
- Vendor (linked to Vendors base).
- Status (operational, needs service, retired).
- Cost basis, replacement cost estimate.
Two views:
- Service due this month. Filter for next-service-date within 30 days.
- Warranty expiring. Filter for warranty-expiration within 60 days.
Automation: when next-service-date hits, create a task in the VA's Asana or Trello.
Linking bases
Three useful links:
- Leads → Members (when a lead converts, link the new Members record).
- Content → Marketing campaigns (if you run campaigns as a separate base).
- Equipment → Vendors (the vendor who supplied the equipment).
Avoid over-linking. Each link adds a maintenance overhead.
Permissions
For most setups:
- Founder: full editor.
- VA: full editor on Leads, Members, Content; read-only on Vendors and Equipment unless explicitly scoped.
- Anyone else: viewer or scoped editor on a single base.
Avoid sharing the entire workspace with anyone outside the core team.
Common Airtable mistakes
Three patterns to avoid:
- Over-fielding. A 60-field table looks comprehensive and is impossible to maintain. Cap at 20 fields per table.
- Mixing bases. Members and Leads in one base creates confusion. Keep them separate.
- No automation. Manual data entry kills Airtable adoption. Build automations from day one.
Build the minimum useful version, then layer fields as you discover real needs.
Backup and export
Three rules to prevent disasters:
- Monthly CSV export to Google Drive backup.
- Quarterly full workspace export.
- Document any custom formulas or scripts in a dedicated SOP doc.
Airtable rarely loses data, but human error happens; backups are cheap insurance.
When Airtable is overkill
Two signals to consider migrating off Airtable:
- You are running 8+ bases and the linking has become unmanageable. Move to a real CRM (HubSpot, GoHighLevel for fitness specifically).
- You need true relational reporting beyond Airtable's view layer. Move to Postgres or a BI tool.
For most fitness businesses under $1M revenue, Airtable is the right tool. Past that, audit the fit.

Frequently asked questions
How long for a VA to learn Airtable?
A week to be productive, three to four weeks to build automations confidently.
Should I pay for the Pro tier?
Yes if you have more than 1,200 records in any base or need automation runs above the free quota. Most fitness businesses hit this within 6 months.
Can Airtable replace MindBody or Trainerize?
No. It is a CRM and ops tool, not a member management or program delivery platform. Use both.
What is the biggest data hygiene mistake?
Letting status fields drift. Without a weekly cleanup, "trial booked" and "trial scheduled" both exist for the same thing. Standardize early.
How do I integrate Airtable with my email or SMS tool?
Native integrations exist for Mailchimp, Klaviyo, and ActiveCampaign. For others, use Zapier or Make as the bridge. Where AI plugs in, see our AI tools list for fitness VAs.
