Five hours a week is not much, but a 5 hours senior fitness VA can still take real work off your plate if the scope stays focused. You are not going to cover everything your senior fitness business needs at this tier. What you will get is relief from the one or two admin tasks that interrupt your day the most - usually class scheduling and basic participant communication.
What Gets Done in 5 Hours
At five hours per week, you pick one primary task and one secondary task. Spreading thinner than that produces mediocre results across the board.
Class scheduling. Your VA manages the calendar for chair yoga, aqua fitness, balance classes, and any other sessions you run. They handle bookings, cancellations, waitlists, and send reminders to participants before each class. For programs with 10 to 20 participants across a few weekly sessions, this alone can fill three to four hours.
Participant communication. Routine messages - class time changes, weather cancellations, holiday schedule updates, and responses to basic questions. Your VA becomes the point of contact so you are not fielding texts and emails throughout the day.
With any remaining time, your VA can handle light enrollment tracking - updating a spreadsheet or database when new participants join or existing ones drop out.
Sample Weekly Schedule
| Day | Hours | Tasks |
|---|---|---|
| Monday | 1.5 | Confirm the week's class schedule, send reminders for Tuesday/Wednesday sessions, process weekend inquiries |
| Wednesday | 1.5 | Midweek schedule updates, respond to participant messages, update enrollment records |
| Friday | 2 | Send reminders for next week, process cancellations, update waitlists, end-of-week schedule review |
What Gets Cut
Five hours is a starter scope. Most of your admin stays with you:
- Family and caregiver updates. Keeping families informed about a participant's attendance, progress, or schedule changes requires dedicated communication time that does not fit here.
- Social media. Posting success stories, exercise tips for seniors, or event announcements needs at least a few hours of its own.
- Event coordination. Health fairs, community events, and open houses involve weeks of planning, outreach, and logistics that go well beyond five hours.
- Transportation coordination support. Helping participants arrange rides through shuttle services or community transit programs is valuable but time-intensive.
- Health screening follow-up. Contacting participants after screenings, tracking results, and coordinating with healthcare providers sits outside this scope.
- Fall prevention program promotion. Marketing specialized programs requires content creation, outreach, and follow-up that five hours cannot accommodate.
When to Upgrade
Move to 10 hours when:
- Your class schedule grows beyond three to four sessions per week and scheduling alone takes more than four hours.
- Participants or their families start asking for more communication - progress updates, event information, or schedule changes - and your VA cannot keep up.
- You want to add social media but there is zero time left after scheduling and communication.
- Enrollment tracking becomes more complex as you add new class types or locations.
Five hours works as a test run. You learn what your VA can do, build trust in the workflow, and identify which tasks to hand off next.
Is five hours enough if I run daily classes?
Probably not. Daily classes across a full week generate enough scheduling, reminders, and participant communication to push past five hours quickly. This tier suits programs with two to four classes per week.
Can my VA call participants directly?
Yes, if your participants prefer phone communication - which many seniors do. Your VA can make confirmation calls, reminder calls, and follow-up calls. Just be aware that phone calls take longer than emails or texts, so the five hours will fill faster.
What tools does my VA need access to?
At minimum, your scheduling platform (Mindbody, Vagaro, or even a shared Google Calendar) and your communication channel (email, phone system, or messaging app). Keep the toolset simple at five hours so onboarding is fast.
Will my VA handle payments or billing?
Not at this tier. Five hours covers scheduling and communication only. Payment processing, invoicing, and membership billing require more hours and typically come in at 15 or 20 hours per week.
Can I use the five hours in one or two days instead of spreading them out?
You can, but spreading them across at least three days works better for senior fitness. Participants expect timely responses to schedule questions, and a two-day gap between VA availability can mean missed cancellations or unanswered inquiries.
Ready to scale up? The 10-hour scope adds family updates and health screening follow-up. For community outreach, see the 15-hour scope. WHO reports 1 in 4 adults is insufficiently physically active.
